The jobs you never knew about: why your best leads vanish before they reach your job software
The phone rings. That part is working.
You spend money to make the phone ring. Google, the signage, the van, the shirts, word of mouth you have earned over fifteen years. Whatever the mix is, it works. The phone rings.
That is worth saying out loud, because most advice aimed at trade businesses starts by telling you that you need more leads. You probably do not. You need to keep the ones you already paid for.
Everything below happens after the enquiry arrives and before it becomes a job. That gap is what we call the front door, and in most businesses nobody is watching it.
Four places the enquiry disappears
None of these are dramatic. That is exactly why they survive for years.
The call that rings out. You are up a ladder, or under a house, or driving with the radio on. It rings three times and stops. No voicemail, or a voicemail nobody wants to leave. The person calls the next name on the list and gets a human. That enquiry is gone, and you never had a chance to compete for it.
The message nobody sees until Thursday. Someone asks a question through Facebook, or Instagram, or the contact form, or a Google Business Profile message. It lands in an app nobody has open during the working day. By the time it is read, the job has been booked elsewhere.
The quote that never gets chased. You write an eleven thousand dollar quote, send it, and hear nothing. Everyone is flat out, so nobody rings to ask what they thought. Silence is not a no. It is usually a busy person who meant to reply and forgot. One follow up recovers a surprising share of those, and most businesses never send it.
The review nobody asks for. The job goes beautifully. The customer is thrilled. Nobody asks for a review, so the only reviews you have are the ones people were angry enough to write unprompted. Reviews feed prominence, which Google names as one of the three things behind local ranking, alongside relevance and distance (Google's own explanation). Not asking is a compounding cost.
Notice what is missing from that list. Nothing went wrong on site. Your blokes did their job. Not one of those four failures is a delivery problem.

Why you cannot see any of it
Here is the part that stings, and the reason this leak lasts for years in a well run business.
Your job management software is very good at what it does. It quotes, schedules, tracks, invoices and reports. But every one of those functions starts with a job record. If a call rings out, no job record is ever created. If a Facebook message goes unread, no job record is ever created. If a quote goes cold and nobody chases it, at best you have a dead card sitting somewhere nobody looks.
So when you open the dashboard, you see the jobs you won and the money you made. It is a real report and the numbers are correct. It just cannot show you the enquiries that never made it far enough to be counted, because from the software's point of view they never happened.
Ask your job software how many calls you missed last month. It does not know. That is not a criticism of the software, it is a description of where the software starts.
Which means your worst month and your best month can look identical on paper. The difference sits in a place with no report.

The ten second test
You do not need a consultant to find out whether this applies to you. Do this today.
Ring your own business number. Let it ring out. Do not answer it.
Then look at your phone.
If nothing arrives in the next ten seconds, you have just watched a job walk out the front door in real time. That is precisely what happens to a stranger who found you on Google, except they do not know you, they are not loyal to you, and they have three other numbers on the screen.
Do the same with a Facebook message and a form fill on your own website. Time how long it takes for anyone to respond. That number, whatever it is, is your real front door.

What sitting at the front door actually means
Four things, and none of them change how you run the work.
Missed call text back. The moment a call rings out, the caller gets a text within seconds. Something plain and human: sorry we missed you, we are on a job, what do you need and we will call you straight back. The conversation stays alive instead of moving to your competitor, and you have their number and their words in writing.
Every conversation in one inbox. Calls, forms, website chat, Facebook, Instagram, Google Business Profile messages, SMS. All of it in one place, on your phone, with a record of who replied and when. No more hunting through five apps to find out whether anyone answered.
Quotes that chase themselves. The follow up gets sent whether or not anyone remembers, on a schedule you decide. Polite, short, and consistent. You still do the talking when they reply, the system just stops the silence from being permanent.
Review requests on autopilot. When a job is marked done, the request goes out. No awkward asking, no relying on someone remembering at the end of a long day. See our online reputation management page, and how to get more positive reviews, for what that does to your visibility over time.
That is the whole idea. We do not touch the part of your business that works. We sit in front of it.
"But I already have ServiceM8"
Good. Keep it. We do not want you to rip anything out, and any consultant who opens by telling you to change your job software is selling their own convenience.
To be fair to ServiceM8, it is not empty at the front of the funnel. It has an inbox, two way SMS, online bookings, quote follow ups, automated review requests, and a paid phone add on with after hours routing (ServiceM8 pricing). If you have all of that switched on and working, you are already ahead of most.
The gaps that remain are the ones that live outside the job record: social and webchat messages, knowing which enquiry came from which source, and nurturing the people who enquired but never became a job. That is the leak, and that is where we sit.
The rule we work to is simple. We own the conversation before the job exists and after it is finished. Your job software owns everything in between. The customer never gets messaged twice by two systems, because we set the handover deliberately rather than hoping.
"We answer our phones"
Plenty of businesses do, during business hours, when someone is at a desk.
So the honest version of the question is narrower. What happens at 5:40pm on a Tuesday? On a Saturday morning, which is when homeowners actually deal with home problems? When both of you are under the same house?
You do not have to argue about it. Measure it for a month. If the number of missed enquiries really is zero, you have lost nothing and gained a clean answer.
We will say the same about ourselves. We are a small business too. Sometimes we are on a call and cannot pick up. The difference is that when you ring us and we miss it, you get a text back in seconds. That is not a sales pitch, it is the product demonstrating itself.
What it costs to stop the leak
Our offer is deliberately narrow: the platform, the setup, and ongoing support. We do not manage your ads and we do not build websites. Those are different jobs, and we would rather be excellent at one thing than average at three.
Setup covers the phone number and missed call text back, connecting your channels into one inbox, the quote follow up sequences, the review requests, and the reporting so you can finally see enquiry volume rather than just job volume. After that we keep it running and change it as your business changes.
The platform we build this on is GoHighLevel, and we set it up and support it here in Australia. What that includes sits on our GoHighLevel Australia page. Pricing and packaging are on our business platform page, and if you want to see how the automation side fits together, that is on our marketing automation page.
Frequently asked questions
Will this work with my job management software? Yes. Most setups run happily side by side, with us at the front door and your job software running the work. Where a live data connection is worth having, it can be built through a connector, and we will tell you honestly whether it is worth the extra cost in your case.
Do I need a new phone number? Not necessarily, and there are a couple of ways to do it. The usual approach keeps your existing number as the one on your signage and lets us handle the tracking and the text back behind it. We will walk through the options before anything changes.
Will my customers get two messages about the same thing? Not if it is set up properly. We define who owns which stage of the conversation before switching anything on, which is the whole reason we ask what job software you use in the first conversation.
How long does setup take? Days, not months. The first thing we turn on is missed call text back, because it is the fastest thing to prove.
What if I try it and it turns out I was not missing anything? Then you will have a report that says so, which is worth having on its own. It is a much better outcome than assuming.
The one thing to take away
You are not short of leads. You are short of a report on the leads you already paid for.
Ring your own business right now and do not answer. Whatever happens in the next ten seconds is the honest state of your front door.
If nothing lands, book a time with us and we will show you where yours is leaking. Or read how we do it on our GoHighLevel Australia page first.
